BOARD & GENERAL MEETING MINUTES

WEDNESDAY, NOV. 3, 2021

OCOTILLO ROOM, KINO BLDG. 2:00

CALL TO ORDER

     2:00 P.M. by President Doug Shumway

APPROVAL OF MINUTES

     Minutes were approved by the Board held Monday, Oct.11th, 2021.


MONTHLY TREASURER’S REPORT

     Balance as of October 31, 2021 was $7,042.12 Treasurer’s Report was approved by the board.

MAINTENANCE COMMITTEE:

     There is an ongoing discussion on ramps for courts 1 and 2. Robson has said there is

     no budget at this time to fix this issue. Currently cones and chairs are placed in the

     court openings so hopefully no injuries will occur, only a temporary fix at this point.

     Court 2 had bars installed at the bottom of the fence. Robson did a good job fixing this

     potential hazard in a timely fashion.


     Sheds were cleaned out by Curt Haug and Joy Olson, they look great. Thank you both

     for volunteering, plus Curt used his truck to haul a load of garbage to the trash.


     John Epler has been volunteering his time to keep our tennis nets, ball score towers,

     and trays in working order. He is going to order 2 trays and towers for future use.

     Thank you John for your continued help keeping the courts in working order.


     We need to replace a few of the ball and plastic containers, but a discussion continues

     as far as what Robson would like and if they will pay for the replacement.


RULES COMMITTEE:

     Linda Weissman brought up a rule for play that all members need to keep in mind.

     When a phone rings or something disrupts play, the play has to stop immediately as a

     hinderance. If the point is played out, it is too late to play the point over. Linda is

     willing to answer any questions someone has about rule of play.


SOCIAL COMMITTEE:

     Sunday, November 7th Chili Feed

     Wednesday, December 1st Ladies Holiday Luncheon (room is booked)

     Sunday, February 13th Valentine’s pizza party

     Sunday, April 3rd Annual party

     Sunday, May 8th Ocho de Mayo (new board takes this on)


     Cindy Gong has done an outstanding job organizing for the Chili Feed.

     Sign up sheet is at kiosk for food and volunteers. It looks to be a good turnout.


     A signup sheet has been placed at the kiosk for the Christmas Ladies Luncheon.

     Details are on the signup sheet.


UNFINISHED BUSINESS:

     The By-Laws update will be pursued after the new year.


     Doug Shumway informed the board that there will be no reimbursement for the RMC

     program through Robson. Not enough information was given to Robson regarding

     reimbursement, to be continued.


     The Waiver for Liability needs to be sent to each member, signed and returned for files

     on record. This waiver will cover use of the courts/ball machine use and league play.

     Doug Shumway is still waiting for a copy from Meloni Caron, General Manager. He will

     contact her and report the progress at the next board meeting. This needs our prompt

     attention to move ahead in 2021 with coverage to protect the club and Robson

     community from liability. Don Callen offered to write up instructions for use of the ball

     machine and a waiver to be signed before using. These items were not discussed at

     this meeting, but still need to be addressed.


     Don Callen brought up the tennis club hosting Sahuarita High School for a tennis

     scramble and sandwiches being served following the tennis scramble. There is a

     tentative date in February planned. This event was brought up at the meeting.


     A mixed Doubles tournament is still on the table for an additional event in the future.

     A volunteer is needed to look into interest and a possible date.


     An evening league possibility is still being discussed, we need volunteers to coordinate

     it and see if there is enough interest to form a league, both for men and women.


     Rick Wade and Doug Shumway volunteered to research other Robson

     tennis facilities along with pictures, and present the issue to Quail Creek to see if we

     can improve the facilities to the level they should be. This is still pending.


     Dinah Shumway and Dave Sypkens are ready for weekend clinics for all levels of play.


NEW BUSINESS:

     If anyone has ideas for additional events or fun activities, please present them to the

     Board. A suggestion was made for a marathon of events to be played together with

     tennis as a sporting event all members can participate in.


     Dinah Shumway volunteered to head the Nominating Committee for submitting names

     of interested people to take over the positions that are up for replacement. The

     positions are President, Secretary and one Member At Large position. She will present a

     list at the next General Meeting to be held in February and voted on in the March

     meeting. She is looking for volunteers to be on the committee.


     Robson suggested 2 new remotes for the ball machine need to be purchased.


     Carlo Pensyl suggested that any current large items that are needed for the tennis club

     needs to be submitted to Robson as a Capitol Request. If it is not in the budget for the

     coming year, nothing will be done.


     Wind Screen replacements were brought up, especially on court 6. John Epler is going

     to try and repair it. A request needs to be put forward to Robson.


     Mike Wagner brought up the maintenance and cleaning being done on the courts.

     Whoever is doing it now has no schedule or idea of what he is doing. It needs to be

     addressed with Robson. A written schedule needs to be posted at the courts so

     members know they are being maintained.


     Georgia Jaffe brought up that League play should be consistent with their starting time

     schedule. The members voted that a time frame for start times should be decided by

     the board. There is a schedule already in place for March through October start time is

     8:00. November through February start time is 9:00. The times have been posted on

     the kiosk, but because of Covid the coordinators were given freedom to accommodate

     their league players wishes. Times will go back to normal starting this month.


     Members were asked about any other concerns with no response.
